This is a step-by-step guide that shows how to register with Western Bid, calculate the cost, create a shipment, pay for the delivery, and send it from your city to the warehouse in Kyiv, and then abroad.

What to prepare before sending the parcel
- Finally package all items into a single parcel in accordance with the packaging rules.
- Prepare the recipient’s full name, address, phone number, and email in English.
- Weigh and measure the parcel in advance (length, width, height).
- Determine the actual value of each item for the customs declaration.
- Ensure you have access to PayPal / Payoneer / cards to top up your balance.
Registration
Step 1
Before checkout, please package all items into the shipment. Then go to the site Westernbid.com and click the button “Register“.
Step 2
You can sign up via Google in the registration window, but in this case the information in Google must be correct. For many people this isn’t the case, so we recommend registering with an email address.
Step 3
Enter your first name and last name in English letters, enter your email, and choose a password.
Step 4
Check the box (after reading the Terms of Service) and click “Register”.
Step 5
The Western Bid system will ask you to confirm your email address.
Step 6
Check your email inbox and find the email from Western Bid.
Step 7
Click the link in the email.
Step 8
Please provide your date of birth and phone number.
Step 9
Enter your address in English letters.
Step 10
If you sell products, please provide your login and/or a link to the store (optional).

Congratulations! You have completed the registration step. The system will redirect you to your Personal Cabinet.
Cost calculation

In your personal account, click on Calculator from Ukraine.

Please specify the dimensions and weight of the parcel.

You may leave the postal code field blank if you do not remember the recipient’s postal code, but then the calculator will show approximate delivery prices. You will be able to specify the recipient’s address later.
Step 15
The chargeable weight is the greater of the dimensional (volumetric) weight or the actual weight. The calculator itself determines the chargeable weight, taking into account the specified dimensions and the weight of the parcel.

Select a shipping method. The terms and features of each delivery option can be found on our site.
Step 17
The cheapest way is Consolidation Plus – parcels travel together to Miami, and from there each one heads to its own address. For example, we will choose delivery to Miami by FedEx, and from Miami via the UPS Mail Innovation service.

Now let’s specify the recipient’s information and the contents of the parcel. Click on “Add item”.

Recipient address verification before shipment
Before creating the shipment, be sure to verify the recipient’s address via Google Maps. This will help ensure that the address exists, is correct, and complete (including street, house number, city, and postal code).
For verification:
- Enter the full address into Google Maps;
- Make sure the system finds a specific location without errors or ambiguities;
- Check for a valid postal code and precise location.
It is also important to ensure that the address is located on the mainland part of the recipient’s country. Shipments cannot be made to islands or other territories that do not belong to the mainland part of the delivery country.
If you have any doubts about the address or its location, it is recommended to further verify the details with the recipient before processing the shipment.
Step 20
Please indicate the value and the description of contents of the shipment. If there are several items and they are completely different, repeat the entry for each item. If the items form a kit, you may specify a single name, noting that it is a kit. For example, “pottery kit” – a set of pottery tools. A set of identical items can be described as a multi-piece set. For example, “set of 12 mugs” – a set of 12 mugs. As the product link, you can provide a link to your sold item or a link to a similar item sold online.

You can specify a link to the product on the Etsy marketplace or any other marketplace.
Step 22
Make sure that the product link you provided is not damaged when copying. Click the gray checkmark to the right of the link, and the product card should open in a new browser window.

Select all checkboxes and click the “Save” button.
Step 24
You will be taken to the page where you can place the item you specified into the shipment. External item is called that because you entered information about it into the Western Bid system yourself, and you did not sell this item through the Western Bid platform. Click the “Continue” button.
Step 25
You have navigated to the parcel cost confirmation page. Please check all the listed parcel parameters.
Step 26
If you have no funds in your Western Bid balance, the system will display an error. Top up your account with the required amount by clicking “Top up” in the top-right corner of your Personal Account. Important! To avoid losing data about the shipment, the top-up form must open in a new browser tab. To avoid checking your browser settings, open the ‘Top up’ link in a new tab or in a new browser window by right-clicking the link and selecting ‘Open in a new tab’.
Step 27
In the “Account top up” section, choose a convenient top-up method. The specified amount will include the payment system’s fee. For example, we will choose PayPal.
Step 28
Please complete all the necessary steps to pay in the payment system you have selected. In the Western Bid system, the payment amount will be credited to your balance. Payment of the shipping cost from the balance will be processed later.

After the payment is completed, you will be redirected to the Transactions page, where the top-up amount will be visible.

Attention! Please switch back to the previous tab or window where we paused at the confirmation and payment step of the nearly created shipment. If you closed the tab, no worries. You will need to repeat steps 13 through 22, and it will take only a few minutes.

In the shipment confirmation window, click the Recalculate button. The system will recognize your positive balance on the account and allow you to proceed.

Instead of an error message, a “Continue” button appeared. Click on it.

For the customs declaration, you need to specify the product description, that is being sent, in Ukrainian, and also select the customs category code of the product.

If you did not find an exact code, you can specify a similar one by value. For example, for a metal shelf you can indicate that it is “metal mountings rack” i.e. “metal hanging shelf”. Click on “Continue”.

On the confirmation screen, click on “Pay for forwarding and print the documents”

After payment you will be taken to the document printing page. If you have a thermal printer, select 10×15; otherwise, click the “Barcode labels” button.
Step 37
Print the label and attach it to the package. If you don’t have a printer, you can write the label number on the package by hand (but this may delay its processing in Kyiv by 1 business day).
Common mistakes when preparing a shipment
- Closing the tab with the shipment confirmation before topping up the account — you’ll have to repeat part of the steps.
- Incorrect or incomplete description of the goods for customs (missing category, material, or purpose).
- Using inaccurate dimensions, which leads to discrepancies with the actual data in the warehouse.
- Top up the account in the same tab where the shipment form is filled out, which can sometimes cause loss of entered data.
Sending the created package to our warehouse
Step 38
Take the package to our center in Kyiv. If you do not live in Kyiv, you can send the package to the center’s address yourself. You can ship the package via Nova Poshta and pay for the shipment to Kyiv directly in your personal account with a 10% discount. To do this, we’ll move on to the next step.
Step 39
Select the locality from which you want to send the parcel. Then choose the Nova Poshta branch nearest to you (with the same waybill you can also send the parcel from any other nearby Nova Poshta branch if the one you selected is unavailable or closed). Click on “Continue”.
Step 40
Please provide the product description in Ukrainian and the estimated value. Click on “Continue”.
Step 41
Specify the dimensions and weight of the parcel, and click “Calculate”, and then “Continue”.
Step 42
The system will show how much you should pay for shipping. Remember or copy this price.

Open the “Top up” link in a new window or a new tab. Do not close this screen – we’ll be back here soon.

Enter in the “Amount” field the amount missing from the previous screen, select the top-up method and click the “Top up” button.

After topping up your account you will be on the “Transactions List” page and you will see the top-up entry for your account in Western Bid.
Carefully switch to the previous tab.

Click the “Continue” button again.

Confirm the correctness of the information provided and click “Create”. The money for the transfer will be deducted from your account with Western Bid.

After paying for the Nova Poshta shipment from your balance, you have moved to the Documents section. Click on the “Waybill” button.

Print the prepaid waybill and bring it to the Nova Poshta branch together with the parcel. If you don’t have a printer, you can write down the waybill number and print it at the Nova Poshta branch.

Frequently Asked Questions about sending parcels from Ukraine via Western Bid
Is there any way to speed up the shipment processing in my account?
– First, to avoid paying multiple times, you can immediately calculate the top-up amount and top up (PayPal or Payoneer) your Western Bid account in advance for the required amount.
– Second, if you are sending similar items, you can save one of the shipments as a template, and subsequently use templates for shipping.
– Third, if you sell on eBay or Etsy, you can with one click upload all your orders to Western Bid, and all information about the recipient’s address, price, and the product description will be automatically loaded during the shipment fulfillment process.
Why not make the checkout process more convenient?
We are constantly working on improvements. Our system is designed primarily for those who trade on foreign marketplaces and ship goods from Ukraine to overseas customers. But now you can ship a parcel at our low prices, even if you are not a seller.
Do you have to be a seller to use Western Bid?
No. While the system is designed primarily for sellers on foreign platforms, any user can send a package overseas at low rates, even if they do not sell goods.
How can I speed up the parcel shipping process?
You can top up the balance in advance for the amount you need, use templates for similar shipments, and automatically import orders from eBay/Etsy to avoid entering data manually.
What should I do if I closed the tab while checking out?
If the tab with the shipment confirmation has been accidentally closed, simply repeat the steps for calculating the cost and entering the product details (steps 13–22) — this takes a few minutes.
Is it possible to send a package from somewhere other than Kyiv?
Yes. You can arrange a shipment via Nova Poshta to Western Bid’s Kyiv center directly from your account, obtain a prepaid waybill, and drop the parcel off at the nearest branch.
What payment methods are available for delivery?
You can top up your balance via PayPal, Payoneer, or Stripe; thereafter, the cost of forwarding is deducted from this balance when creating the shipment.
