Attention! Shipments by UPS Ground, UPS Express, FedEx and DPD to recipients in the European Union with paid VAT and the stated IOSS number are cleared in Poland; brokerage fees in the amount of $4 (UPS Ground, FedEx, DPD) or $2 (UPS Express) per parcel are charged in addition to the shipping cost at checkout.

The delivery cost can be calculated on the shipping calculator. UPS accepts shipments only in rectangular cardboard boxes or bags.
Additionally, a handling fee for irregularly shaped goods may be charged in the amount of $3 per shipment if the item is:
⇒ any item placed in an outer transport container made of metal or wood;
⇒ any cylindrical item, such as a drum, barrel, pail, or tire, that is not fully enclosed in a corrugated cardboard shipping container;
⇒ any packaging whose longest side exceeds 100 cm or whose second-longest side exceeds 76 cm.
After UPS issues us an invoice for such a type of item, $3 will be charged to the customer’s account.

USA, Australia, England, Canada, the European Union, Switzerland, Japan, South Korea, 100+ countries (on the continental parts). Delivery to P.O. box /APO/FPO/DPO, US Territories, Puerto Rico, Turkey, Brazil, Russia, Bermuda is not available.
For delivery to hard-to-reach regions – $7 for parcels up to 35 kg, if the parcel weighs more than 35 kg, +$0.20 per kg.

If you are sending many parcels, we recommend splitting into several shipments; this will help reduce the total weight on the waybill.
You can create a Nova Poshta shipment across Ukraine to our warehouse in Kyiv, directly from your Western Bid account with a 10% discount. Learn more how to do this – here.
If you are sending several parcels together via Nova Poshta to our consolidation center, please follow the following requirements:
- create either several Nova Poshta TTNs or
- pack the consolidated shipment in clear film and place the parcels inside so that their individual labels are clearly visible.
Warehouse staff are not allowed to open parcels or enumerate their contents. When a parcel is received at the warehouse with a single label and without visible signs that there are multiple parcels inside (for example, two or more parcels wrapped with opaque tape and no accompanying note listing the numbers of the other parcels in a prominent place), such shipment may be sent as a single parcel. In this case we do not bear responsibility for the shipment and do not guarantee its delivery. Such a parcel may be detained by customs for non-compliance with weight and dimensions, and parcels moving without labels will not be tracked and will not have a delivery status, etc.
Size restrictions:
The length of the longest side must not exceed 270 cm. Length (the longest side) + the package’s girth must be less than 400 cm, where girth = (2*width) + (2*height).
For parcels with a girth of 300 cm or more and a weight of 40 kg or more – surcharge of $35.
For shipments weighing 70 kg or more, or with a length of 274 cm or more, or a girth of 400 cm and weight of 40 kg or more: – surcharge of $220.
Weight restrictions:
The maximum weight is 70 kg.
Please note! The size must be measured according to the packaging and at the most protruding points. If the size is specified incorrectly, the parcels will be returned for re-issuance at an additional cost.
The chargeable weight is the greater of the actual weight or the volumetric weight.
When processing the shipment, the chargeable weight will be determined automatically.
Volumetric weight is calculated using the formula: length (cm) × width (cm) × height (cm) ÷ 5000 = volumetric weight (kg).
Rules for packaging parcels
To ensure your parcels are scanned faster and do not require manual handling by postal staff (and thus reach your customers sooner and not incur extra charges for their handling), please follow the simple postal service packaging requirements:
- Do not wrap parcels with film, stretch film (you may wrap the product inside the parcel with protective film). Only cardboard boxes and/or courier bags are allowed for shipment.
- Do not fully seal the parcel with tape.
- Replace cylinders with square or triangular packaging.
- Do not pack in wooden, plastic, metal boxes or boxes made of plywood and particleboard, and do not wrap with kraft paper or bubble wrap.
The postal service rules allow:
- to send a courier package and seal it with tape in several places (but not entirely!);
- to seal the corners of the box so that the parcel holds its shape;
- to wrap the product inside a cardboard box with film/packing;
- to place cardboard boxes into a courier bag.
Please follow these rules, as scanning the parcel’s dimensions is significantly hindered (and sometimes simply becomes impossible) because the protective film (or tape used to wrap the entire parcel) “reflects” the laser beam on the scanning equipment.
If the packaging does not meet the requirements, the carrier will issue a fine of $45. The funds will be deducted from your account.

UPS Ground – $150.
For shipments to the USA, customs duties are charged at 10% for Ukraine and 15% for the EU, plus possible charges for the customs code (HS). For such goods, the duty and brokerage fees are calculated and paid by the sender directly when the package is prepared.
For Australia, there is a customs threshold of 1000 AUD — goods up to this amount can be imported without paying duties. For other countries the threshold varies, so you need to check the customs rules of the recipient country.

After you pay for the shipment, you immediately receive the UPS tracking number (format: 1Z0XXXXXXXXXXXXXXX). The first scan of the parcel tracking appears after customs clearance in Kyiv. The next scan records the movement of the parcel at the carrier’s European office — usually this happens within 2–3 days after the first scan.
We have created our own tracking service for your parcels, which shows only the most up-to-date information for your tracking number. The first status of the parcel will be the scan at our Kyiv warehouse. The permit must be obtained independently

Label (consignment note) with a barcode for UPS Express and an invoice. If VAT is paid, indicate the IOSS number in the corresponding field when creating the shipment. Accompanying documents (culturological or other expert evaluations, permits) we recommend placing in a clear plastic sleeve and securing to the outside of the parcel with tape – next to the transport label (consignment note).
Attention! The consignment note(s) are valid for 20 days from the time of creation. If you have not sent the parcel within this period, you must cancel it and create a new shipment. Otherwise, the parcel will not be accepted by the postal services.
Payment terms for costs when returning a shipment to Ukraine
- The cost of returning the parcel to the sender.
Usually, this amount exceeds the initial delivery cost and depends on a number of factors, in particular:
- the rules and features of the country from which the return is made;
- the weight and volume of the shipment;
- additional requirements of the carrier or customs authorities.
- Charges assessed in the receiving country, in particular:
- storage costs;
- taxes, duties and other mandatory payments if they were assessed by customs authorities or an agent.
- Customs clearance or disposal of the shipment in Ukraine. If the value of the shipment exceeds €150, an additional payment for customs clearance or disposal amounting to 10% of the shipment’s value is charged.
If the buyer in the destination country refuses to pay import taxes, duties or other mandatory charges, then during the return of the shipment the carrier charges the unpaid amount to the sender, and it will be debited from the sender’s account.
Payment of duties by the buyer (or by the sender on behalf of the buyer) prior to the return allows delivering the parcel to the destination address without additional costs related to the return and subsequent customs clearance in Ukraine.
Yes, there are items that are prohibited from being shipped abroad. Packages with such contents may be confiscated by customs authorities or returned to the sender at their expense. Please, before sending parcels, familiarize yourself with the list of items prohibited from shipping
Required information before sending
- Please specify the correct weight and dimensions. If the weight or dimensions are underestimated, at an additional charge the shipments will be returned to the Western Bid logistics center in Kyiv, where they will await re-issuance of the documents. Measurements should be taken on the package at its most protruding points.
- Please package the shipment well. Please view this packaging video. Proper packaging is the sender’s responsibility and increases the chances that the parcel will reach the customer intact and undamaged.
- In the product description, please do NOT write ‘gift, souvenir’.
- We warn you that when shipping you must indicate only truthful and complete information about the cargo, to avoid delays in processing. In case of incorrect indication of the contents, your parcel will be held at customs, and you will bear full responsibility for violations of customs regulations. All parcels are scanned and cross-checked with the list of goods specified in the invoice. You also bear responsibility for warning your customers about possible customs duties upon receipt of the parcel. In the event of loss of the parcel, insurance payments are made according to the declared value of the contents.
- If you created the shipment by mistake, or entered the shipping information incorrectly, please do not send the parcel. Within 20 days you can independently cancel the created label. Details on how to do this are here.
- After the delivery has been arranged you will receive a UPS waybill, which must be affixed to the parcel. Please note that the barcode must be clearly visible and must be fully placed on one of the sides of the parcel.
UPS Parcel Processing
To arrange a shipment, you can choose the required shipping type directly in the shipping calculator, or select the appropriate section of the menu in the Personal account in the “Create shipment” tab:
1. Choose the menu item “My shipments” – “Create shipment” – “UPS” and select the required transaction. The items needed for shipment should be selected by checking the box next to the item and click “Continue”.
2. In the next step, a UPS shipment cost calculation will be presented to the customer, and choose the final delivery method – UPS Ground or UPS Express. Specify the weight and dimensions of the box, select (if needed) shipping insurance and signature delivery, and you will see the final shipping cost.
3. Specify the product description for the attached customs declaration. The minimum description length is 20 characters (that is, for example, a description like “shirt” is not enough; you need to specify “cotton shirt for women”). The maximum description length is 50 characters. We recommend including the product name and its intended use.
It is required to specify:
– What is this product;
– What it is used for.
When shipping to EU countries, if the buyer has paid the tax, fill in the IOSS number (if available) in the corresponding field of the form.
Also, attach an invoice to the order showing the value of the goods and whether the tax has been paid.
4. Specify the sender’s address. You can add a new address or edit an existing one.
The maximum number of sender addresses – 20.
5. After you click the “Continue” button, you will be taken to the confirmation page of the information you provided. Please check carefully and indicate your consent to the forwarding rules.
Please indicate that you have familiarized yourself with the duties and tax rates and limits of the destination country for the parcel and that you agree to pay, as agreed with the buyer or by yourself, any possible duties, taxes, brokerage fees and any other costs associated with receiving this forwarding, as well as costs for a possible return of this parcel in case of non-payment of the respective taxes, duties and services by the buyer or by you.

This is an important point, because in some countries fairly high duties and taxes may be charged, which will have to be paid by your buyer or by you. We also recommend informing your buyers about these taxes and charges.
6. At the next step click “Pay for the shipment and print the documents”. The required amount will be charged to your account in the system. The waybill with a barcode for UPS Express and a detailed instruction (reminder) on the processing and sending of the parcel will be available to you after you complete the delivery arrangement.
If you don’t have a printer and there’s no way to print documents, you can manually indicate on the shipment:
- your Western Bid customer number,
- tracking number,
- recipient’s surname,
- recipient’s postal code.
Staff at the consolidation center will print the labels, however in this case the processing time of your shipment may increase by 1-2 business days. We also would like to draw your attention to the fact that this free service is provided to sellers who ship no more than three parcels per day. If the number of your shipments per day exceeds 3, we recommend printing the labels and documents yourself.
