Size and weight of the parcel
Please note! Measurements must be taken from the packaging at the points where it protrudes the most. If the size is specified incorrectly, the post will not accept parcels with incorrect dimensions, will impose fines charged to your account, which will cause significant delays in delivery, and possibly the parcel being traced.
Western Bid’s weight limit requirements: the maximum weight of the parcel is 30 kg (dimensional or actual)
Dimension limits: The length of the longest side must not exceed 175 cm. The length (longest side) + the girth of the parcel must be less than 300 cm, where girth = 2*width + 2*height.
Attention! The minimum dimensions of the package sides must be at least 15cm x 10cm x 1cm, otherwise your parcel will not be sent.
On the label, the weight is always shown rounded to the nearest whole number, but the shipping cost is calculated based on the chargeable weight.
When composing the product description at the stage of preparing documents for shipment, it is necessary to indicate:
- What kind of product this is;
- What it is used for;
- Specify the material if it is plywood, leather/artificial leather (artificial leather), cotton/nylon (cotton/nylon), bijouterie, plastic.
If the product is made of fabric, we additionally specify sewn, fabric, or knitted. If this is a glass or carafe, storage box, or barrel, then you must also indicate ’empty’.
Rules for packaging parcels
In order for your parcels to be scanned faster and not require manual handling by postal staff (and thus reach your customers faster and not require extra charges for their handling), please follow the simple postal service packaging requirements:
– Do not wrap parcels with film, stretch wrap (you may wrap the protective film only around the item inside the parcel).
– Only cardboard boxes and/or courier bags are allowed for shipping.
– Do not seal the parcel completely with tape.
– Replace tubes with square or triangular packaging.
– Do not pack in wooden, plastic, metal boxes or boxes made of plywood and particle board, and do not wrap with kraft paper or bubble wrap.
Allowed by the postal service rules:
- Send a courier package and seal it with tape in several places (but not completely!).
- Seal the corners of the box so that the parcel keeps its shape;
- Wrap the product inside the cardboard box with film/packaging;
- Put cardboard boxes into a courier bag.
- The courier bag is allowed for shipments up to 2 kg of actual or volumetric weight.
Please follow these rules, as the scanning of parcel dimensions is significantly hindered (and sometimes simply impossible) because the protective film (or the tape used to wrap the entire parcel) “reflects” the laser beam on the scanning equipment.
If the packaging does not meet the requirements, a fine of $45 will be issued by the carrier. The funds will be charged to your account.

Packages with paid VAT and the indicated IOSS number are cleared in Poland; the broker’s fee of $4 per package is charged in addition to the shipping cost at processing (the calculated shipping price in the calculator already includes the $4 broker fee). In all cases, during the processing of the DPD shipment you must upload an invoice or order copy in .pdf, .png, or .jpg format no larger than 5 Mb, where the recipient’s name and address, the value of the goods and information about VAT (if paid) are specified.
Remember, You are responsible for the correctness of the information provided; mistakes will lead to delays, fines, and additional costs.
If you have several transactions for one client, the value of the goods in which was less than $150, and the marketplace for each item respectively provided an IOSS number, you may ship them in one shipment only if the total value of the contents does not exceed $150. Since in the shipment, the document specifies the total value of the contents of the entire parcel. That is, you need to create the shipment so that the total value of the contents does not exceed $150.
Payment of customs duties
For this type of forwarding, parcels up to $150 are accepted.
With DPD delivery, all parcels are pre-cleared, and the buyer receives the parcel already fully cleared through customs, avoiding delays or problems at customs.
All parcels up to $150 are taxed (VAT), and above this value they are also subject to customs duties. In most cases, all parcels sold on Ebay/Etsy have an IOSS number and do not require any additional payment. This IOSS number must be provided when filling out the documents. Note! When creating the shipment, if the IOSS field is filled, you additionally pay $4 to the broker.

Delivery is carried out using a combined scheme: Western Bid consolidates shipments in Ukraine and transports them to its logistics hub in Europe, where each parcel receives a local DPD label and is entered into the European delivery network. Processing of DPD parcels
To arrange a shipment, you can choose the required type of shipment directly in the shipping calculator, or select the appropriate section of the menu in your Personal Account under the ‘Create Shipment’ tab:
1. In the tab, select one or more items (lots) by checking them.
We recommend contacting the buyer in advance and clarifying their phone number. Please add the buyer’s phone number by clicking the edit button before you select the item for shipping.
If you do not find the required product in the list, you can search by the transaction number, the buyer’s first and last name, or the buyer’s postal code. If you cannot find it using the above method, create an External product, then return to the section “My Shipments” – Create a Shipment – “DPD to Europe”, and then this product will appear in the delivery transaction list.
2. Calculate the cost of your parcel by specifying its dimensions and weight.
For each individually packaged item, specify the weight and the dimensions of the box or package. The system will display the calculated weight and the shipping cost to the customer. Click the “Continue” button only after you have finished all calculations.
3. Provide the product description for the attached customs declaration. (The maximum description length is 35 characters. Only letters and digits are allowed), HS code of the product, IOSS/VAT number and include the order invoice.

When submitting from Ukraine, the product description must be written in Ukrainian.
4. After reviewing the information you have entered, click “Create shipment”.
5. A window will open where you can choose to pay for the shipment now or later.
Please note! You can pay for the shipment after it is created within 72 hours. If the payment is not received – the label will be automatically canceled.
6. After clicking on “Choose payment method” you will be able to pay for the label from the balance of your Western Bid personal account or by credit card.
7. Once you have paid for the shipment, you will be able to print the label. It must be affixed to the package in any method convenient for you.
If you do not have a printer and cannot print the documents, you can manually indicate on the shipment:
- your Western Bid customer number,
- tracking number,
- recipient’s surname,
- recipient’s postal code.
Consolidation center staff will print the labels, however in this case the processing time for your shipment may increase by 1-2 business days. We would also like to draw your attention to the fact that this free service is provided to sellers who ship no more than 3 parcels per day. If the number of your shipments per day exceeds 3, we recommend printing the labels and documents yourself.

What should you do if the courier doesn't find the buyer at home?
DPD usually makes a second delivery attempt or leaves the parcel at the nearest DPD Pickup point. The customer will receive a notification with the address and the storage period.
Can fragile items be shipped?
Yes, but only with professional packaging. Western Bid recommends using a double box and a sufficient amount of protective padding for ceramics or decor.
Is insurance included in the cost of shipping?
Basic insurance is included, but for expensive items we recommend arranging additional insurance in your account when creating the label.
