Attention! Shipments by UPS Ground, UPS Express, FedEx and DPD to recipients in the European Union with paid VAT and the specified IOSS number are customs-cleared in Poland; brokerage fees of $4 (UPS Ground, FedEx, DPD) or $2 (UPS Express) per parcel are charged in addition to the cost of shipping at the time of checkout.

Payment terms for costs when returning a shipment to Ukraine

If a shipment is returned to Ukraine, all costs associated with the return are borne by the sender. The costs of returning the shipment include:

  1. The cost of returning the parcel to the sender. Usually, this amount exceeds the initial delivery cost and depends on a number of factors, including:
    • the rules and features of the country from which the return is made;
    • the weight and volume of the shipment;
    • additional requirements of the carrier or customs authorities.

    Please note that the cost of the return may be 1.5 times the initial delivery cost, and it is not possible to calculate it exactly in advance.

  2. Charges assessed in the country of receipt, in particular:
    • storage costs;
    • taxes, duties and other mandatory charges, if they were assessed by customs authorities or an agent.
  3. Customs clearance or disposal of the parcel in Ukraine. If the value of the contents exceeds 150 euros, an additional charge for customs clearance or disposal in the amount of 10% of the value of the contents is charged.

If the buyer in the destination country refuses to pay import taxes, duties or other mandatory charges, then during the return of the shipment the carrier will bill the unpaid amount to the sender, and it will be charged to the sender’s account.

Payment of duties by the buyer (or by the sender on behalf of the buyer) before the return allows delivering the parcel to the destination without additional costs, related to the return and subsequent customs clearance in Ukraine.

USA, Australia, England, Canada, Switzerland, Japan, South Korea, 100+ countries (to the mainland) and EU countries (FedEx Priority, Fedex Regional Economy). Delivery to P.O. box /APO/FPO/DPO/US Territories is not possible.

There is currently no courier pickup service.

How to send?

Packed parcels with attached barcode labels for FedEx should be handed over to Western Bid in accordance with the following instructions:

⇒ Deliver personally to the Western Bid center in Kyiv at 22 Volodymyra Sikevycha Street;

⇒ Parcels can be sent by Nova Poshta at your own expense to the address: Kyiv, Nova Poshta Branch No. 18, to the owner of the phone number +38 (067) 678-46-10 (recipient Ruslan Guseynov, Western Bid). Please note that this phone number is provided solely for shipments and is not intended for calls or consultations.

You can also send any parcels to this address using any postal service.

You can create a Nova Poshta shipment across Ukraine to our warehouse in Kyiv, directly from the Western Bid personal account with a 10% discount. More details on how to do this – here.

Maximum dimensions and weight of the parcel

Length + girth must not exceed 330 cm (length + 2 widths + 2 heights), for maximum length – 274 cm.

The maximum weight is 68 kg (volumetric or actual).

Calculated weight​

The chargeable weight is the greater of the actual or volumetric weight.

When arranging a parcel, the chargeable weight will be determined automatically.

Note: volumetric weight is calculated using the formula: length (cm) × width (cm) × height (cm) ÷ 5000 = volumetric weight (kg)

Customs duty payment

The duty-free threshold in the USA has been canceled as of August 29, 2025. All shipments are taxed — the base duty rate is 10 % for Ukraine and 15 % for EU countries (Poland, Czechia), with possible additional charges by product code. Read more in the article.

Limit for Australia: 1000 AUD.

For other countries, we recommend using information on duty rates in the recipient country.

Tracking number

Available for viewing here. We recommend tracking shipments until they are received by the buyer, because if the buyer does not respond within a few days, FedEx returns the shipment.

We have created our own tracking service for your shipments that shows only the most up-to-date information for your tracking number. The first status of the shipment will be a scan at our Kyiv warehouse. You can monitor changes to your shipment yourself or provide a link to the site to the buyer so that they can track the purchase. Go to site.

Parcel insurance

In the event of loss of an uninsured parcel, FedEx pays $100 in compensation.

If you have insurance with Western Bid, the full value is paid.

How to obtain permission to export stone products (gemological examination), metals, paintings and sculptures?

For clients who sell any works of art, oil paintings on canvas and on wood, as well as collectible items over 60 years old, culturological expertise is available from Western Bid. Find details here.

For shipments of goods that require gemological examination (stones and precious metal items), you must carry out the examination yourself and include the documents certifying the examination in the package of documents. If the stones are uncut or in the form of sand, please bring or send them only in a sealed gemologist’s box.

For customs clearance, regardless of the value of the goods, various additional permit documents may be required. For example, for folding knives and cutlasses, a certificate stating that these items are not cold weapons is required.

You are required to provide all necessary permit documents for the cargo (certificates, attestations, expert opinions, etc.) at your own expense.

What documents are required for shipment?

To send a FedEx package you must pack the items into the parcel and seal it. Then you need to affix to the parcel the barcode obtained in the ‘Sent Parcels/Express/Documents’ section.

Print the invoice in one copy and attach it to the shipment in a transparent polyethylene envelope (document envelope). If the system generated a TSCA form, also print it, fill it out, and place it in the same envelope along with the invoice. Attach the transparent envelope with the documents to the side of the shipment with clear tape in such a way that it does not cover the address label and can be easily opened at customs.

If the TSCA form was not generated by the system, there is no need to attach it. In case customs require additional documents, we will inform you about it.

Note! When creating a FedEx Priority Ukraine shipment, you must add a photo of the sender’s passport.

Are there items that are prohibited from being forwarded?​

Yes, there are items that are prohibited from being sent abroad. Packages with such contents may be confiscated by customs authorities or returned to the sender at their own expense.

Before shipping parcels, please familiarize yourself with the list of items prohibited from shipment.

Untreated wood products must not be shipped. From processed (plywood) – allowed. If the delivery of a parcel containing such goods is carried out via FedEx, when creating the shipment and selecting the material “plywood”, a TSCA form will be automatically generated, which must be filled out.

Shipping of silver and gold products

Shipping jewelry made from such materials is possible only through the FedEx Priority Ukraine delivery service.

Required information before sending

1. Specify the correct weight and dimensions. If the weight or dimensions are specified with underestimation, the shipments will be returned to the Western Bid logistics center in Kyiv, where they will wait for documents to be reprocessed. Measurements should be taken on the packaging at the most protruding points.‍

2. Carefully package the shipment, seal the corners, and securely affix the transparent plastic envelope (file) with the label, sealing it with tape along the edges, not covering the barcode. The FedEx waybill and the documents package are available for printing from the Western Bid Personal Cabinet at any time.‍

– Do not wrap shipments with film, stretch wrap, kraft paper (you may wrap only the item inside the package with protective film). Only cardboard boxes or courier bags are allowed for forwarding.

– Replace tubes with square or triangular packaging.

– Do not fully cover the package with tape.

– Do not pack into wooden, plastic, metal boxes or boxes made of plywood and particleboard, and do not wrap with kraft paper or film.‍

If the packaging does not meet the requirements, the carrier will impose a fine of $45. The funds will be deducted from your account.

3. Correctly prepare the documents package for shipment:

  • FedEx waybill with a barcode;
  • invoice in English;
  • TSCA form, if it is generated by the system.‍

4. Please do not reduce the size of the documents. All documents must be printed in A4 size, even for small shipments. Be sure that the barcode is clearly visible and readable by a scanner; otherwise the package will not be delivered. Place small shipments into a courier bag of a larger size. In this case, the dimensions are measured by the shipment.‍

5. In the product description, please do not write “gift, souvenir”, otherwise such shipments will be opened to verify that there is nothing prohibited.‍

6. Each shipment must have a securely attached corresponding documents package. Do not staple shipments together, otherwise the lower ones will go for the documents of the upper. One shipment – one place, one package of documents. Place small shipments into a larger package, and attach the documents in A4 format to it.‍

7. We would like to warn you that when shipping you must provide only truthful and complete information about the cargo to avoid delays in processing. If the cargo details are incorrect, your shipment will be held at customs, and you will bear full responsibility for violation of customs laws. All shipments are scanned and checked against the items listed on the invoice. You also bear responsibility for warning your buyers about possible payment of duties upon receipt of the shipment.‍

8. In case of loss of the shipment, insurance payouts are made according to the declared value of the shipment (provided there is insurance from Western Bid).‍

9. If you created the waybill by mistake, or incorrectly specified shipping information, please do not send the shipment. You can cancel the created label yourself.‍

10. Please note: with FedEx you cannot ship shipments to P.O. Box addresses, or to military APO / FPO / DPO addresses.‍

FedEx waybill(s) are valid for 10 days from the moment of creation. The possible cancellation period for a FedEx shipment is 10 days from the moment of creation. If during this time the shipment is not accepted at our sorting center in Kyiv and tracking has not started, the label will be automatically canceled. In this case, the funds for its use will be returned to your account.‍

FedEx parcel processing

To create the shipment, you can choose the required type of dispatch directly in the shipping calculator or select the appropriate section of the menu in your Personal Account in the “Create Shipment” tab:

1. In the tab, select one or more items (lots) if the buyer’s address in the transactions matches and click “Continue”.

We recommend contacting the buyer in advance and confirming their phone number. Please add the buyer’s phone number by clicking the “Edit” button before you select the item for shipment.

2. Calculate the cost of your parcel by specifying its dimensions and weight and selecting the appropriate FedEx shipping service type.

Please note that you have familiarized yourself with the rates and limits of customs duties and taxes of the destination country of the parcel and agree to pay, as agreed with the buyer or independently, any possible duties, taxes, brokerage fees and any other costs associated with receiving this shipment, as well as costs related to the possible return of this parcel in case of non-payment of the relevant taxes, duties and services by the buyer or by you.‍

3. Enter the description of the item for the attachment’s customs declaration. The minimum description length is 20 characters (that is, for example, the description “shirt” is not enough; you should specify “cotton shirt for women”). The maximum description length is 50 characters. We recommend specifying the product name and its purpose. You can also choose the material from which the item is made. The selected material is added to the attachment’s description on the invoice. Click “Continue”.

4. Please provide the sender’s address. You can add a new address or edit an existing one. The maximum number of sender addresses is 20.

The sender’s address must match the address stated in the attached supporting documents from the sender (proof of address or registration certificate).

5. Please carefully review the information provided and indicate your agreement with the forwarding rules. After that, click “Pay for the forwarding and print the documents”. The required amount will be charged to your account in the Western Bid system.

If you created a label by mistake, you can cancel it yourself until the shipment has been sent.

This is an important point, because in some countries fairly high duties and taxes may be charged, which will need to be paid by your customer or by you. We also recommend informing your customers about these taxes and charges. An example message to the customer is here.

To send a FedEx package, you must pack the goods into the shipment and seal it. Then you need to affix the barcode received in the ‘Sent Parcels/Express/Documents’ section.

Print the invoice in one copy and add it to the shipment in a clear polyethylene envelope (document). If the system generated a TSCA form, also print it and place it in the same envelope together with the invoice. Attach the clear envelope with the documents to the side of the shipment with transparent tape in such a way that it does not cover the address label and can be easily opened during customs clearance.

If you do not have a printer and cannot print the documents, you can manually write on the shipment:

  • shipment tracking number,
  • recipient’s surname,
  • recipient’s city,
  • recipient’s postal code.

The staff at the consolidation center will print the labels; however, in this case the processing speed of your shipment may increase by 1-2 business days. Also note that this free service is provided to sellers who ship no more than 3 parcels per day. If you ship more than 3 parcels per day, we recommend printing the labels and documents yourself.

What FedEx delivery types are available in the Western Bid account?

We offer two main services that meet different business needs: FedEx International Priority for the fastest delivery (usually 1-3 days to major cities) and FedEx International Economy, which is a more budget-friendly option for less urgent shipments (4-6 days).

How to arrange a FedEx shipment in 5 steps (How-To)

  1. Creating an order: In the Western Bid dashboard, select the required order and click “Create a Waybill”.
  2. Rate selection: Choose FedEx International Priority or Economy by comparing the current price in the calculator.
  3. Print documents: Print the generated air waybill (Waybill) and 3 copies of the commercial invoice.
  4. Packaging and handover: Carefully package the item and hand it over to the courier or to the nearest Western Bid drop-off point (hub).
  5. Tracking: Copy the 12-digit FedEx tracking number and add it to the order on the marketplace — the system will automatically notify the customer.

We accept parcels weighing up to 68 kg via the standard interface. For heavier or palletized shipments, please contact our support team for a custom calculation.
