Brief Summary

90% of Etsy sellers underestimate not the product, but the service: style of communication, response speed, attention to detail, delivery control, and working with reviews. These factors shape customer loyalty and influence how Etsy perceives your shop.

The essence of this article: to grow your shop more steadily, you need not only to sell products but also to build a strong customer experience — from the first message to delivery and repeat purchase.

The core in one block

Main idea: on Etsy, a high level of service is not an “additional bonus,” but a part of your ranking, trust, and repeat sales. Good service makes the customer happier and at the same time strengthens the shop in the eyes of the platform.

Who is this article for

  • for Etsy sellers who want to improve their shop’s service and rating;
  • for beginners who do not yet understand how service affects sales;
  • for shops looking to have more repeat purchases and better reviews;
  • for sellers seeking practical ways to improve communication, delivery, and customer experience.

6 Tips That Really Boost Your Etsy Shop

First tip: work on your communication style

First impressions of your brand are often made through communication. You need to be very polite, friendly, reliable, and professional at the same time.

‍A good way to get closer to your customers and earn their trust is to express your gratitude and show that you value each of your clients. It’s not complicated, but at the same time, not all sellers take the time to thank customers for their orders and overall trust. Personal communication in the form of gratitude is very important here. This way, you can show that behind your brand, there is a human face, that you are a real person, and this will help win the loyalty and devotion of your customers.

‍On our Etsy, we have the option to set up automatic notifications for buyers who have purchased something from us, but I don’t do this because automatic mailings often annoy buyers and are considered spam. Previously, after each of my orders, I personally sent a message to each customer thanking them for their purchase. As the number of orders increased, it became increasingly difficult to do. But I still find a way to pay attention and thank my customers. Personal communication is definitely important, especially for young stores at the start.

‍I’ll share one of my life hacks that will be useful for both experienced sellers and help increase sales. Potential buyers often ask clarifying questions about the product, but they haven’t placed an order yet. Your response can easily lead to a sale. Don’t end your reply with a period, don’t just let a potential buyer go. Give an answer, then ask your question. For example, if it’s about sizes, ask: what specific size are you interested in? This way, your communication will turn into a dialogue, where the potential buyer will have to respond to your question. And this can very likely lead to a sale.

‍Buyers highly value personal communication as part of the service and will reward you with a five-star review in return.

Second tip: response speed is critically important

Try to respond to messages within 48 hours, as this affects your search ranking. It also creates a sense of reliability and care. To optimize your work and save time on responses, I actively use pre-saved response templates. These are my pre-written messages. I use the built-in Etsy tool for this, which helps to optimize your responses and send standard information via messages, as well as quickly provide answers to frequently asked questions from customers.

Third tip: attention to details

This creates an emotional connection with your brand. Everyone loves surprises and care. Tune in for long-term relationships with your customers, turning them into repeat buyers. Customer service shouldn’t end after the deal is completed, after you’ve shipped the order.

‍Many customers return for repeat purchases, and by maintaining contact with them, you’re building long-term relationships. For example, write to the customer after delivering their order to ensure everything was satisfactory. You can also thank them for their cooperation by sending a promo code for a discount on their next purchase. This type of mailing can be automatically set up in Shop Manager in the sales and discounts section.

‍From personal experience: my buyers use such promo codes when making repeat purchases. Plus, I include a thank-you card with every shipment, where I also place a promo code for a discount. The most attentive customers can get up to 25% off their next purchase.

Fourth advice: think like a buyer

What you provide, they may not find or understand. For example, if you sell freight goods, explain how to care for them. From personal experience, I can say that assembly and maintenance instructions for products, which we add to orders, work very well. This significantly reduces the number of questions and increases customer satisfaction.

‍A lifehack we also use to ensure environmental friendliness and careful attitude towards nature: we recently stopped using paper instructions. We developed QR codes with a link to a post on Instagram, where we show how to mount our shelves on the wall. Imagine how this works – it’s useful information for the buyer, and at the same time, new followers for the page.

Fifth tip: always track your delivery

Problems with buyers often arise precisely due to delivery issues. When shopping on Etsy, buyers want to know that their orders will be delivered on time. Buyers frequently talk about delivery in their reviews – both positive and negative.

‍Although it is very difficult for us to guarantee specific delivery times at this stage, always keep control of all your shipments, check where the parcel is and whether it is traceable. You know how it often happens: we start looking for a parcel when the customer has already contacted you with the question “where is my order,” and then we start to panic. What can I say, I am the same way myself.

‍To avoid this, we started tracking our shipments weekly, and it has paid off. Recently, there was a story: we sent one large order in two shipments. At some point, we noticed that one parcel was not moving—it had been delivered to the United States airport, and it hadn’t moved for five days. With the help of support service, I found out that part of the total cargo sent that day had stayed in transit sorting warehouse in Europe, and part had arrived in the US. Because of this, customs clearance becomes impossible since the cargo was not fully arrived.

‍While waiting for the delivery of the other part of the cargo, I decided to inform the client that his order was delayed. I was so surprised when I received a reply from him, where he sincerely thanked me for warning him in advance! And when both parcels were delivered, I received a five-star review from him with words of gratitude for the high level of service. This again proves that there’s no need to wait until an unhappy customer writes to you. It’s better to warn him in advance, and potential negativity will turn into a positive review.

Sixth tip: work with reviews

A five-star review is a confirmation of your high level of professionalism and mastery, inspiring us all to continue creating new unique products. But let’s not forget that reviews, in addition to the psychological component, are one of the factors currently considered by the Etsy algorithm and directly influence the ranking of your listings in the search results.

‍To meet the high standard of customer service on Etsy, you should have fewer than 10% of reviews with a rating of 3 or below. Sometimes, we also receive negative reviews, and it can be very disappointing because of this.

Checklist: what should be in a strong Etsy service

  • Personal communication instead of soulless automation.
  • Timely responses to buyers’ messages.
  • Response templates to save time without sacrificing quality.
  • Post-sale attention: thanks, promo code, contact after delivery.
  • Useful instructions or QR codes if the product requires it.
  • Regular delivery monitoring and proactive notifications about delays.
  • Systematic work with reviews as a factor of reputation and ranking.

What sellers on Etsy most often underestimate

  • humanity in communication with the buyer;
  • response speed as a trust and visibility factor;
  • post-sale experience, not just the fact of shipping;
  • instructions and small details that reduce friction for the customer;
  • proactive delivery control, rather than reactive only after a complaint;
  • the role of reviews in ranking and conversion.

Frequently Asked Questions

Does the service really affect the visibility of the shop in Etsy search?

Yes. The page explicitly explains that Etsy considers response time, timely shipment, average rating, and case resolution as part of service quality, and this influences the platform’s perception of the shop.

Both factors work together. Speed gives a sense of reliability, and personal communication shows that behind the brand stands a real person, not a faceless store.

Yes, if it is done appropriately and humanly. Such contact helps to ensure everything is fine, reduces tension, increases the chances of a good review, and encourages repeat purchases.

Do not wait for the buyer to write first. It is better to proactively check tracking, understand the situation, and inform the customer in advance — this can turn potential negativity into a positive reaction.

Expert Position

The Etsy service is not an “add-on after the sale,” but a part of the store’s growth model itself. When customers feel comfortable with you, they not only leave better reviews but also help the store rise higher.
